Using the Sold View

The My eBay Sold view in Selling Manager and Selling Manager Pro helps you manage your post-sales activities, including tracking sales status, emailing buyers, printing invoices and shipping labels, and selling similar items.

The Sold view displays all the sales you've closed on eBay for the current month plus the preceding three calendar months. When you make a sale, the item is moved from your Active view to your Sold view. When you complete the post-sales tasks for an item, you can move it to your Archived view.

From the Sold view you can:

Tracking post-sales activities

The status icons in Sold view show which post-sales activities you've completed and which activities you still need to do. For each sales record, blue icons show tasks you've completed. Gray icons show tasks you either haven't updated status for or haven't completed.

Each sales record displays the following tasks:

Icon Task

Tells whether checkout is complete or not

Tells whether you've received payment for the item

Tells whether you've shipped the item

Tells whether you've left Feedback for the buyer for this transaction

 

Tells whether you've received Feedback for this transaction

Tells whether you have an unpaid item case open in our Resolution Centre

Tracking emails

The Sold view contains an email log of any emails you send to your buyer. The number in the column tells you how many emails you've sent so far. Click the number to view the email log. A small email log window opens. Each row of the log shows the date you sent the email and the name of the email template you used to write the email. Use the Add entry or Delete entry button to add or delete emails you've sent to your buyers outside of Selling Manager.

Tip: To find a particular buyer quickly, you can sort your transactions either by buyer email address or buyer user ID. To do this, use the Buyer Email/ID hyperlink in the title bar of the Sold view.

Updating payment and postage status

Once you determine the payment and postage status of your listings, you can update this information through the listing's sales record or directly from Sold view.

To determine the payment and shipping status, in the Postage Status column, click one of these links:

  • Awaiting Payment

  • Awaiting Postage

  • Paid & Posted

To update payment and postage status:
  1. Select the boxes next to the listings you want to update. (To see one specific group of items, use the Search box. To select all of your active items, select the Record box in the heading bar above your listings.)

  2. From the Change Status pull-down menu, select: Payment Received, Posted, or Payment Received & Posted.

  3. Click the Select button to update the status of the listings you selected. The status icons are updated.

Selling Manager Pro users: To have Selling Manager Pro automatically generate an email or leave feedback when you change a sold listing's status, update your Selling Manager Pro Preferences.

Selling similar items

With Selling Manager or Selling Manager Pro, you can list a copy of one or more of your sold listings. This saves you time and you can reuse information that worked well in previous listings.

Selling Manager Pro users: You can use the listing templates associated with your products to create more listings for products that perform well.

To create a similar item:
  1. Select the listings you want to copy. (To see one specific group of items, use the Search box. To select all of your active items, select the Title box in the heading bar above your listings.)

  2. From the Action column drop-down menu, select Sell Similar.

  3. The "Create your listing" page appears showing details of the listing you selected.

  4. Review and make any needed changes to your listing.

  5. Click the Continue button.

  6. The “Review your listing” page appears. Take another look, and if you need to make further changes, click "Edit listing."

  7. Click the Submit listing button on the "Review your listing" page.

    Durations of more than seven days may incur a fee and change some upgrade and insertion fees. Your listing fee subtotal appears in the “Your fees so far” section at the bottom of the "Create your listing" form and again under “Review your listing."

If your item doesn't sell and you relist it, you may be able to get an Insertion Fee Credit (this doesn't apply to Fixed Price listings).

Archiving sold items

You can archive your sold listings when you're finished with post-sales activities, or you can wait 90 days for listings to be archived automatically.

To archive your listings:
  1. Select the boxes next to the listings you want to update. (To see one specific group of items, use the Search box. To select all of your active items, select the Record box in the heading bar above your listings.)

  2. Click the Archive button.

  3. Click the Confirm Archive button on the archive confirmation page.

Adding a note

You can save personal comments for any item in Selling Manager or Selling Manager Pro.

To add a note:
  1. Select the boxes next to the listings you want to update. (To see one specific group of items, use the Search box. To select all of your active items, select the Record box in the heading bar above your listings.)

  2. Click the Add Note button.

  3. Enter the text.

  4. Click the Save button to save the note. The note appears below the item in Selling Manager or Selling Manager Pro. Only you can see your notes.

Tracking international sales

When an item is sold to a buyer in a country other than where the item is located, that's considered an international sale.

To add a note that identifies an international sale:
  1. In My eBay under Account, select Site Preferences.

  2. Under Selling Preferences > Sell Your Item form and listings, click Show.

  3. Under Selling Manager Pro > Display "international sale" note in My Notes, click Edit.

  4. Select Display "international sale" note, and click Submit.
